Turning the system on:

  • If the touch panel is dark (as in the photo on the Introduction tab) then it is in an energy saving mode. Tap the touch panel to wake it up. You will see a blue screen that says “Welcome to” followed by the room number, as below:

  • Tap the touch panel to start the system. You will then see a little pop-up window that says “Please wait while the system starts up.” as below:

  • Once the start-up has completed, you will see on the left-hand side of the panel all available sources:

  • Lectern PC - selected by default (onto which you can log in with your Portal login details)
  • HDMI and USB-C connections (should you wish to connect your laptop)
  • the document camera (or visualiser), usually located to the side of the podium closest to the wall).

On the right-hand side, you will see the Camera Control and Mic Settings page on which you can adjust settings. You will also see the smaller screen control buttons to turn it off or on as required. This screen will show what is on the second desk monitor.

Turning the system off:

If the touch panel is dark, it is in an energy saving mode. Tap the touch panel to wake it up. You will then see in the bottom LEFT corner of the panel a red button that says “Shutdown”:

  • Tap the button to start the shut-down sequence. You will then be prompted to confirm that you wish to turn the system off:

  • Tap the “Power Down” button to confirm and turn the system off. You will then see a pop-up window that says “Please wait while the system is powering down”.

  • Once the shutdown sequence has completed you will be brought back to the blue screen showing the room name. Please ensure you turn the system off at the end of your session (unless the following session’s lecturer is already in the room).

  • To use the doc cam, tap the doc cam button on the touch panel
  • The doc cam light will come on and it will be displayed on the projector
  • To control the doc cam, use the controls on the touch panel

  • Once done, switch back to previous source by tapping the relevant button. The doc cam light will then turn off
  • There are two external connection options: HDMI and USB-C/VGA
 HDMI & USB-C HDMI & VGA
  • To use the HDMI connection, plug the cable into your laptop and press the HDMI button
  • (If available) To use the USB-C connection, plug the cable into your laptop and tap the USB-C button
  • USB-C will also charge your laptop, so you won’t need to plug your charger in
  • (If available) To use the VGA connection, plug the cable into your laptop and tap the VGA button. Remember to also plug in the sound connection attached to the cable
  • Mac users: for both USB-C and HDMI, you may need to select the correct audio output in Sound Settings on your laptop

Camera control (where a camera is installed)

  • When the system is turned on, the camera defaults to a wide shot of the teaching area (the “Wide” preset)
  • To change this, the other preset buttons can be used: “Podium” is a closer shot of the teaching podium and “Close” is a close-up shot of the user at the podium
  • To adjust the camera angle, use the “Pan/Tilt” arrows and the “Zoom” function. The “Home” button will bring the camera to a default position
  • Camera tracking is disabled by default (the “Off” button will be highlighted under “Camera Tracking”). To enable it, press the “On” button – this will now be highlighted to show that camera tracking is now enabled. The camera will now focus on the presenter’s face and will follow them as they move around the teaching area

Microphone settings (where ceiling tile microphones are installed)

  • Ceiling tile microphone presets:
    • Teacher with students – the microphone is configured to pick up sound from the entire room but to prioritise the teaching area at the front of the room
    • Teacher without students – the microphone is configured to pick up sound only from the teaching area at the front of the room
    • Open discussion – the microphone picks up sound across the entire room evenly
  • The system is set up to default to the “Teacher with students” preset in hyflex classrooms and “Teacher without students” in lecture theatres
  • To change this according to the needs, simply press the relevant button (for example, if the user is running a hybrid session where they would like to include audience participation, the microphone can be set to “open discussion”)
  • Disclaimer: the ceiling tile microphones are sensitive and can pick up even small noises such as a piece of paper rustling or a bag of crisps being open

Where ceiling tile microphones are not installed

  • In non-hyflex rooms, there will be either gooseneck microphones (for voice reinforcement and recording) or boundary microphones (for recording only)
  • For these, there is a “Mic Mute” button in the bottom right corner of the touch panel

Teams monitor functions (hyflex classrooms and lecture theatres only)

  • To operate the secondary display dedicated to Teams calls, you will find two buttons in the bottom right corner of the touch panel: Teams Monitor Power On and Teams Monitor Power off
  • By default, the screen turns on when the system turns on
  • To turn the screen off, press the “Teams Monitor Power Off” button and wait. When the shutdown sequence of the screen has completed, the button will be highlighted in blue
  • To turn the screen on, press the “Teams Monitor Power On” button and wait. When the start-up sequence of the screen has completed, the button will be highlighted in blue

Volume adjustment

  • To mute the audio in the room, press the speaker in a circle with a line through it
  • To turn the volume up or down, press the speaker up or down buttons as needed

Blanking

  • To blank the screen/projection while setting up (so the audience do not see your process, or perhaps for privacy reasons), press the “Blank” button. This will now flash to show the screen/projection is blanked. When ready to present, simply press the “Blank” button again to unblank
