IT and Library Supported Classrooms: Support options

Your guide to our classrooms and AV equipment

Self Service

The default option is self-service. You will ONLY have access to equipment that's already in the room (please check the room inventory to ensure that what you require is available). If you require Hyflex you will need to have booked a room that supports this.

You will need to provide details of external presenters at the point of booking, and arrange access for them. If you have an external presenter, the key contact for the university will need to fill in the form.

  • Nothing additional is required
  • No out of hours support required
  • No support required during the event
  • Bring your own clicker/adapter (presentation peripherals will not be provided)
  • Accessibility considerations 

AV system checks and basic training

A minimum four week notice period is required for this option.

  • ILS can provide a basic AV system check (up to 15 minutes) on request
  • ILS can provide a technical run through (basic training on operating the equipment in the room) on request (up to 15 minutes) - this must be booked to ensure room availability and the content agreed in advance
  • You will need to notify the IT Service Desk even when support is not required.
  • AV support cannot be provided for events booked into spaces that don't have suitable equipment

Additional support (room-specific)

Additional facilities are available on request in specific spaces:

Four top table microphones - these can only be booked for internal events.

Dreadnought Atrium

Use of large video screens or microphones.

Events where external (third party) support is required

For events requiring a higher level of support and production quality, for example the Staff awards, Student awards, Graduation and Brexit event, dedicated external support will need to be brought in as facilities are not available in-house. This applies if you require:

  • Filming
  • Streaming
  • Videoconferencing
  • High production value - e.g.  mixing desk, multiple microphones, vision mixing

These types of events require at least three months advanced notice and a site visit by the external provider.

Where external support is required, charges will apply - these will need to be discussed and agreed before confirming the event.

External event notes

  • The IT Service Desk will need to be informed in advance which software you/your presenters will be using
  • All external presenters will need to log in - please ensure that you request Affiliate accounts/guest Wi-Fi for external presenters at least seven working days prior to the event
  • If radio mics are required for external presenters, access to the microphone storage safe will need to be requested via the EFM events team
  • Ethernet connections should be requested via the IT Service Desk - all requests are subject to network team/security approval
  • If your presenters will be using their own laptops, please check the connections available in the rooms you have booked and ensure that they bring their own signal adapters (ILS cannot supply adapters)
  • Further support may be available at additional cost (e.g. out of hours support)
  • You are required to notify the IT Service Desk even when no support is required
